Job Description:
As a Guest Experience Specialist (GES) at VIO Med Spa, you will play a vital role in delivering outstanding customer service and ensuring seamless communication between our clients and the med spa team.
Your primary responsibilities will include:

Customer Interaction:
Answering incoming calls promptly and professionally, addressing inquiries, scheduling appointments, and providing information about our services.
Responding to client texts and online inquiries in a timely manner, demonstrating excellent written communication skills.
Providing exceptional customer service at all times, maintaining a friendly and helpful demeanor in all interactions.

Appointment Management:
Efficiently scheduling appointments for clients using our booking system, ensuring accuracy and adherence to scheduling protocols.
Following up with clients to confirm appointments, reschedule as needed, and provide any necessary pre-appointment instructions.
Managing appointment cancellations and rebooking to optimize the med spa's schedule and minimize downtime.

Product and Service Knowledge:
Developing a comprehensive understanding of our med spa services, treatments, and products to effectively address client inquiries and provide accurate information.
Educating clients about our services, treatment options, and recommended skincare routines to help them achieve their aesthetic goals.
Collaborating with other team members to stay informed about new treatments, promotions, and special offers.

Administrative Support:
Assisting with administrative tasks such as data entry, filing, and maintaining client records to ensure accuracy and organization.
Collaborating with the front desk team to coordinate client check-ins, process payments, and manage client paperwork as needed.
Supporting other departments within the med spa with various administrative duties as assigned.
Qualifications:
Previous experience in a customer service or call center role preferred.
Excellent communication skills, both verbal and written, with a professional and courteous phone manner.
Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
Proficiency in computer applications such as Microsoft Office and experience with booking software or CRM systems preferred.
Knowledge of aesthetic treatments, skincare, or the beauty industry is a plus.
Ability to work independently and efficiently from a remote/home environment.
